Adobe Acrobat Fillable Forms: From Creation to Collection

An Adobe Acrobat fillable form gives people a place to enter their answers. Putting that form to work also means collecting submissions, getting any required approval, and saving the completed document where your team can find it. You can use Adobe’s collection tools or bring the PDF into PlatoForms, where people can complete an original-layout online form or a responsive web form that fills the PDF.

This guide follows an equipment request from creation to collection: an employee enters the request, a manager records a decision, and an administrator receives the finished PDF. It covers preparing the form in Acrobat, the collection options available in Adobe, and how to connect online completion, manager review, and automatic saving to a cloud folder in PlatoForms. How to Create a Fillable PDF in Adobe Acrobat

In Adobe’s form-creation guide, the starting point is Prepare Form: choose an existing file or scan a document, let Acrobat detect fields, then review and adjust them. Add missing fields, check their properties, and save the form before distributing it.

Test more than whether the boxes appear. Enter a long address, select each checkbox, save the completed copy, and reopen it in the viewer your recipients use. Creating fields does not decide who receives the return or approves it.

Before sharing Adobe Acrobat fillable forms, choose the collection route:

For an equipment request, the employee’s entries and the manager’s decision may belong in the same finished record. Define that record first, then configure the stages that produce it. What can Adobe handle after you edit the PDF?

Acrobat supports distributing forms and tracking responses. Adobe’s form distribution guide also covers sequential signing and storage of signed copies in Adobe Document Cloud.

Acrobat Pro and Acrobat Pro for teams include Create a web form. Adobe lists participant roles including Signer, Approver, and Form Filler, and lets you share the form through a URL or embed code. These web form features are included in Pro.

The web form management guide describes CSV export of completed agreements’ field data and individual PDF downloads when a web form contains multiple files. Acrobat can handle more than one document in a collection process.

For more controlled sending, Acrobat Sign’s Custom Workflow Designer lets enterprise accounts define recipient roles, routing, documents, and sender fields when the feature is enabled. This is a separate capability from creating a basic Acrobat web form.

The table compares ways to complete the same tasks, not identical features or plan entitlements. Acrobat Pro Web Forms and Acrobat Sign enterprise workflows are distinct offerings.

In PlatoForms, signatures and signature certificates are separate settings. To include a field in a certificate, enable its certificate option. Configure the invitation for the initial signing step and the certificate setting for each subsequent Workflow step as required. Certificates are optional, not automatic for every signature.

Where AI Fits in the Equipment Request

Acrobat AI Assistant answers questions about document content. Acrobat’s Prepare Form also detects fields, but that should be distinguished from the generative assistant. Compare document reading and form preparation as separate tasks, and include Studio or the appropriate AI Assistant add-on in the cost comparison.

How would the equipment request work in PlatoForms?

Start with the approved blank PDF. If employees need to see that layout while filling it out, use an online PDF form. If a phone-friendly question layout is more useful, use a web PDF form and map the answers onto the PDF.

Create a separate form for the manager’s step, then put the forms in order using Workflow. Give the manager the fields needed to record the decision. Sending a notification alone does not create an approval step.

When both steps use the same PDF template, enable Combine data across steps. The manager’s step can then add information to the PDF generated by the employee’s step. This setting requires the same template across those steps; using different templates needs a different configuration.

To save the completed PDF automatically, connect the form that produces your final record to Google Drive, Dropbox, OneDrive, or Box. Choose the destination folder and, if helpful, use submission values to name subfolders. Test a complete request so you know which stage uploads a PDF and where it lands.

How can Adobe send completed agreements to an archive?

Acrobat Sign’s External Archive sends a copy of a successfully completed agreement to configured email addresses. The delivery includes the signed PDF and audit report, plus field data CSV when available. Adobe also describes destinations such as Box that accept inbound email. Confirm that External Archive is available and enabled in your Acrobat Sign account; it is not the same operation as manually saving a PDF to connected storage.

PlatoForms uses a form-level cloud drive connection with folder and subfolder settings. For an equipment request, compare that direct folder setup with the archive destination available in your Adobe account. Adobe’s External Archive sends agreement records by email; PlatoForms’ Cloud Drive integration saves generated PDFs to the configured folder. What should you test before changing tools?

Run the same sample request through both setups. Check whether the employee can finish on a phone, whether the manager sees enough information to decide, and whether the saved PDF contains both people’s entries. Then have another team member find the record without relying on the sender’s inbox.

Also check what happens when someone needs to correct an answer. Your process needs a clear way to identify the current record. A successful first submission does not tell you whether the revision process fits your team.

Cloud delivery and retention are separate settings. In PlatoForms, retention rules govern the copy held in PlatoForms. Your cloud drive has its own access and retention settings. Saving a PDF to a folder is not, by itself, a complete records-management policy.

Use Acrobat, PlatoForms, or Both

Use Acrobat when the source PDF needs direct text editing, OCR, or redaction. You can then publish it through Acrobat Pro Web Forms or upload it to PlatoForms for online completion and participant review.
