A request is one submission with a checklist, however many documents it asks for. Reminders, rejections, reissued links and renewals of the same submission do not count again. Once the month’s number is reached, new submissions get no request: the Submissions page shows No request for them until the next month or an upgrade, and the checklist stays as it is.

During the free trial a team has Bronze’s 50 requests a month and can use Renewals and People.

The usage report under your plan (Plan, then Usage) shows Document Requests for the current billing period against the plan’s number, and Renewals Sent.

REST API

The API reads requests and acts on renewals. Requests cannot be created through the API; they follow submissions.

GET /api/v4/form/{form}/document-requests/ The form’s requests, with status (missing, needs_review, rejected, complete), page and results_per_page.
GET /api/v4/document-request/{request}/ One request: the person, every item with its files and statuses, the link.
POST /api/v4/document-request/{request}/review/ Accept or reject a file, with a note and an expiry date.
POST /api/v4/document-request/{request}/remind/ Send a reminder now.
GET /api/v4/form/{form}/renewals/ The form’s renewals.
POST /api/v4/renewal/{renewal}/{action}/ send, snooze (body: days), renewed (body: note) or dismiss.

Webhooks

Subscribe to the Documents and Renewal event groups under API & Webhooks:

  • documents.requested when a request is created, document.received on every upload, document.reviewed on accept or reject, documents.complete when every required file is accepted.
  • renewal.scheduled, renewal.sent, renewal.completed and renewal.expired.

AI assistant

Through the PlatoForms MCP server, an AI assistant can list and open document requests, review a file, send a documents reminder, list renewals and act on one, with the same permissions as the signed-in member.
