Check your plan usage
On this page
The Usage page shows how much of your plan your team has used in the current usage period, and what AI, address lookups and text messages cost beyond it.
Reaching a limit is not an error. Each counter only blocks the one thing it counts, and forms that are already published keep working unless the submissions limit itself is reached.
Open the Usage page
Open the team menu and click Usage. You can also click View usage in the Usage credit box on Plan and Billing.
The page opens for the team owner and for members with Usage viewer access on Team Members. Other members see “Request access from admin”.
The header shows your plan, your team and the reset date, with two buttons: Manage plan opens the plans page, and Add credit opens Usage credit.
The page has these tabs:
| Tab | What it shows |
|---|---|
| Plan capacity | Every plan limit against what your team has used, plus totals and trends |
| AI | AI usage this period against your plan’s AI allowance |
| Address lookups | Address autocomplete lookups this period against your plan’s quota |
| SMS | Text messages sent per calendar month and what they cost (shown when text messaging is available to your team) |
On the Free plan and during the free trial, the Plan capacity tab shows an upgrade page. The other tabs work.
When the counters reset
A usage period is one month long and starts on your team’s billing day each month: the day of the month your subscription started. If that is the 29th, 30th or 31st, the period starts on the last day of shorter months. Yearly plans also reset monthly.
The reset happens on the billing day in the team owner’s time zone. The Plan capacity header shows the date next to “Billing period resets”.
| Resets each period | Does not reset (current total) |
|---|---|
| Submissions, API Access, Form Opens, AI allowance, address lookups, Invitation Emails, Document Requests, Renewals Sent | Currently Published Forms, Storage, Team Members, Invitation Contacts |
The SMS tab counts by calendar month instead.
Unused submissions, API calls or AI allowance do not carry over to the next period.
During the free trial, submissions and API calls are not limited or counted against a plan, also after subscribing while the trial is still running.
Read the Plan capacity tab
The top card shows the counter closest to its limit. When it is near or at the limit, it offers Upgrade limit, or Add credit for the AI allowance. All limits audited lists every other counter with “used / limit”.
| Status | Meaning |
|---|---|
| Healthy | Under 70% of the limit |
| Near limit | 70% to 89% |
| At limit | 90% or more, so there may still be a little room |
| No usage | Less than 1% used |
| No limit | Your plan has no limit for this counter, or it is information only |
| N/A | Not included in your plan |
| Counter | What it counts |
|---|---|
| Currently Published Forms | Forms published right now. Master forms do not count; each published linked PDF does |
| Submissions | Completed submissions this period, across all forms. Saved drafts do not count |
| Storage | Total size of the files uploaded with submissions. Completed PDFs do not count. Updated about once an hour |
| Team Members | Members of the team |
| API Access | API requests this period. Every request counts, including each page of a list and each download |
| Form Opens | Times a form was opened this period. Information only |
| Invitation Emails | Invitation emails sent this period |
| Invitation Contacts | Saved invitation contacts |
| Document Requests | Document checklists sent with submissions this period, one per submission |
| Renewals Sent | Renewal emails sent this period. Information only |
| AI allowance | AI used this period against your monthly AI allowance. See AI credits |
Below the counters you’ll find totals and trends: total forms and submissions, active forms this month, average submissions per day, forms per type, and charts of submissions, form opens, API usage and storage per usage period.
What happens at each limit
| Counter | At the limit | Until |
|---|---|---|
| Submissions | Every form of the team stops opening and accepting submissions, including workflow links and shared submission links. Visitors see “Plan volume has been exceeded.” | The next period, or an upgrade |
| Currently Published Forms | Publishing another form is refused. Forms already published keep working | You unpublish a form with Stop Sharing, move one to Trash, or upgrade |
| Storage | Files can no longer be uploaded. Submissions without files still go through | You delete submissions with files, or upgrade |
| API Access | Every API request answers with status 462 and “Plan volume has been exceeded.” | The next period, or an upgrade |
| Team Members | No more members can join the team | A member is removed, or you upgrade |
| Invitation Emails | Sending an invitation that would reach or go past the limit is refused | The next period, or an upgrade |
| Document Requests | New submissions are still accepted, but no document request is created for them | The next period, or an upgrade |
| AI allowance | AI features pause, unless usage credit pays for AI | See AI credits |
| Address lookups | Address fields work as plain text inputs, without suggestions | The next period, or usage credit set to pay for address lookups |
An upgrade raises the limits at once. Usage credit does not raise submissions, API calls, storage, published forms or members.
Emails the team owner gets
| What | When |
|---|---|
| Submissions | At 90% and at 100% of the period’s submissions |
| API | At 90% and at 100% |
| Storage | At 90% and at 100% |
| AI | At 80% and when used up |
| Address lookups | When close to the quota and when autocomplete pauses |
Submissions, API and storage are checked twice a day, so an email can arrive some hours after the threshold is crossed. The Dashboard also shows a banner to the team owner.
The AI, Address lookups and SMS tabs
- AI shows the share of your allowance used, what usage credit paid for AI this period, usage per day, usage by feature, and a list of AI usage events. See AI credits.
- Address lookups shows your plan quota, lookups used and remaining, what usage credit paid, lookups per day and the forms that use the most. One lookup is one open of a live form that uses address autocomplete. Forms that use their own Google Maps key are not counted.
- SMS shows, for the chosen month, the texts sent, what they cost, how many were delivered, the ones not received with the reason, and the latest texts.
Troubleshooting
| Symptom | What to check | Fix |
|---|---|---|
| Cannot publish another form | Currently Published Forms | Stop Sharing or trash a form you no longer need, or upgrade |
| Forms show “Plan volume has been exceeded.” | Submissions and the reset date | Upgrade, or wait for the reset |
| The API returns 462 | API Access | Upgrade, wait for the reset, or fetch only new submissions instead of re-reading the history |
| “The form storage is full, please contact the administrator.” when uploading a file | Storage | Delete old submissions with files, or upgrade |
| Deleted submissions but storage is still full | Storage a little later | Storage is recalculated after a delete and hourly; wait, then reload |
| A counter did not drop at the start of the month | The reset date in the header | The period follows your billing day, not the calendar month |
| AI allowance is at the limit but AI still works | Usage credit > What the balance pays for | Nothing to fix: usage credit pays for AI |
