    With Builder you can build three types of forms: online web forms, online PDF forms, and master forms.

  • Master Form Builder

    you will arrive at the Form Builder. On the form Builder, there are three main sections:

Set your personal notification limits

Every person on a team has their own settings for the emails PlatoForms sends to them personally: two daily limits on submission emails they receive as a team member, the daily digest email, and PlatoForms newsletters.

The limits protect your inbox from a busy form. They only limit the Notify Team Members emails of forms. They never limit what the people who fill the form receive.

Change your limits

  1. Click your avatar in the top right and choose Account Settings.
  2. Open the Notification tab.
  3. Change the values and click Submit.

These settings are personal: each person sets their own while signed in. A team owner or admin cannot change another member’s limits.

Setting Default Counts
Max daily notification emails 50 Notify Team Members emails you receive in one day, from all forms of all your teams together
Max daily per-form notification emails 25 Notify Team Members emails you receive in one day from one form

The day is your own day, in the time zone set under Account Settings > Profile > Time zone. The counts start again at midnight there.

Every Notify Team Members email counts, including the emails sent again when a submission is revised. A master form counts as one form.

Leaving a box empty and clicking Submit saves the default.

What happens when you reach a limit

When the email that reaches a limit is sent, you also get an alert:

  • Per-form limit: “PlatoForms Alert: Daily Email Notification Limit Reached on form”, followed by the form’s name. You get no more submission emails from that form until your next day.
  • Daily limit: “PlatoForms Alert: Daily Email Notification Limit Reached”. You get no more submission emails from any form until your next day.

Emails held back by a limit are not sent later and do not appear in the Activity Log. The submissions themselves are not affected: they are saved, appear on the Submissions page, and every other recipient still gets their emails.

Only emails actually sent count. An email held back by the per-form limit does not count toward the daily limit, so one busy form cannot stop your emails from other forms on its own.

If a busy form keeps hitting the limit, raise Max daily per-form notification emails, and Max daily notification emails if the form gets more than about 50 submissions a day. Emails missed earlier that day are not re-sent; open the submissions on the Submissions page.

Turn off submission emails for yourself

Set either limit to 0 and click Submit. Your Notify Team Members emails stop completely, and no alert is sent. You keep full access to the submissions; only the emails stop.

To stop the emails for everyone on one form instead, switch off Send to team members on that form’s Notify Team Members tab. See Configure form notifications.

What the limits do not touch

  • The in-app notice on the dashboard Notifications page.
  • Notify Users emails, even when your own address is listed there. If you must get every submission email regardless of your limits, add your address to Send to these addresses on Notify Users.
  • Emails to the people who fill the form, logic emails and form reminders.
  • Workflow emails, invitations, document requests, renewals, and account or billing emails.

Daily digest email

Daily digest email (on by default) is a once-a-day summary, “Here’s Your Daily Report”, sent shortly after midnight in your time zone. It lists your published forms and how many submissions each received the day before.

It is sent only when:

  • Daily digest email is ticked on this tab;
  • your email address is verified;
  • Receive daily summary is on for you on that team’s Team Members page (on for the person who created the team, off for other members until someone who manages members turns it on);
  • there was at least one submission the day before on a form whose submissions you can view.

The digest is not affected by the two limits.

Newsletters

Setting What it controls
PlatoForms tips Welcome and product tip emails
Marketing offers and product updates Offers and product news
PlatoForms System Alert The reminder that your free trial is about to end

All three are on for new accounts. They do not affect form notifications.

The Unsubscribe and Manage Preferences links at the bottom of the digest and newsletter emails change only the digest and the newsletters. Change the two limits on the Notification tab.

Troubleshooting

Symptom What to check Fix
One team member gets no submission emails at all Their Notification tab (a limit set to 0, or an empty box that was cleared in the past); whether they can view the form’s submissions; whether their email is verified Enter numbers above 0, or leave the boxes empty for the defaults, and click Submit
Emails stop partway through the day A “Daily Email Notification Limit Reached” alert in their inbox Raise the limits
“Ensure this value is greater than or equal to 0.” A negative number Enter 0 or more
The limit seems to reset at an odd hour Account Settings > Profile > Time zone Correct the time zone
No daily digest Daily digest email; Receive daily summary on Team Members Tick it, and turn on Receive daily summary
